Sharing corporate housing arrival instructions without exposing residents

Keep public accommodation information separate from private unit allocations, access instructions and employee details.

A corporate housing programme needs to share instructions with occupants. It does not need to publish their names, unit allocations or access credentials to everyone involved in the project. Separate public property information from the private arrival pack.

Create two information layers

The public layer can contain the provider name, official website, general location and service description. The private layer contains the assigned home, arrival time, approved access method and contact for a problem. Send the latter only through the organization’s appropriate channel to people who need it.

Avoid adding door codes, identity documents or detailed employee schedules to a request board, shared marketing profile or ordinary matching form. Those tools are for describing housing needs, not for managing sensitive arrival information.

Keep the pack small and current

Include the accommodation identifier, key collection process, relevant contact and essential household instructions. Use the provider’s current version rather than copying an old guest’s notes. If the assigned home changes, retire the earlier instruction set so both are not circulated as valid.

Ask the provider how access information is updated and whom to tell when an occupant leaves. Follow the building’s approved process; a coordinator should not invent a workaround for missing authorization.

Assign responsibility for the handoff

Decide who sends the pack, who confirms that it reached the occupant and who handles an arrival problem. A finance contact does not necessarily need the same detail as the person collecting keys.

For team stays, use internal references in the planning ledger and share personal details only where required by the verified provider’s application process. Keep company retention and privacy requirements in view when storing records.

The practical test is simple: could someone use this document to enter a resident’s home or identify their private schedule? If so, it belongs in the controlled arrival process rather than a public project resource. Clear separation lets coordination work without unnecessary exposure.
