When a furnished apartment item fails, the first task is usually identification. A small purchase folder can provide the model, supplier and actual terms before anyone begins discussing a warranty or replacement.
Keep the product and transaction together
Store the invoice, order reference, model or SKU, finish, quantities and the units receiving the items. Add the relevant specification, installation and care instructions. For a phased project, record delivery dates by phase rather than treating all items as one undated purchase.
Preserve the actual warranty document supplied with the order. A marketing phrase such as “warranty included” does not explain coverage, exclusions or the claim process.
Record issues without diagnosing beyond your role
Describe what was observed, when it occurred and the item’s location. Photograph relevant condition with appropriate permission and keep private resident information out of the product record. Follow the operating process for any safety concern.
Ask the supplier what information is needed for review. Do not promise the resident or owner a free replacement before the supplier has assessed the actual terms and issue.
Separate warranty from ordinary replenishment
An item may need replacement even when no warranty claim applies. Keep current availability, alternatives and delivery scope as a separate supplier discussion. A previous purchase does not establish present stock or an unchanged model.

Update the folder when a part or complete item is replaced. Retain the original history and note the new product received.
