Corporate housing and early departure: settle the process before booking

Ask how notice, unused periods, furniture, keys and company approval are handled if an assignment ends before the planned stay.

An assignment can finish early while the accommodation agreement continues. Before booking, ask what process applies to a change in departure date. Do not interpret “corporate” or “flexible” as an automatic right to leave without further charges.

Request the actual change terms

Ask how notice is delivered, which dates matter and who confirms a revised end date. Read the proposed agreement and obtain qualified advice if you need to understand a legal obligation. A sales conversation should not replace the written terms.

If a company signs, clarify whether the occupant may request a change or only report a need to the coordinator. Separate the employee’s travel plans from the authorized accommodation decision.

List the related services

Departure can affect cleaning, furniture rental, parking and key return. Confirm whether these are included under one provider or involve separate contracts. Ending one arrangement may leave another unchanged.

Ask how final usage charges, condition checks and refundable amounts are handled. Keep these categories distinct from any charge for changing the stay. Do not assume a refund amount before the provider has confirmed the applicable terms and final record.

Plan a clean handoff

Once a change is approved, record the revised dates and distribute one instruction set to the occupant, provider and finance contact. Confirm the final access window so furniture pickup or packing does not happen after permission to use the home has ended.

Complete the return inventory and report unresolved issues through the appropriate process. Save written acknowledgments and the final billing explanation.

For coordinators, early-departure questions belong in the first request, even when the schedule looks firm. For providers, clear terms reduce the risk of an occupant treating a work cancellation as a completed housing cancellation. The useful result is a known process and an authorized change, not an assumption that every unused night will be refunded.
