How to evaluate a sofa sample for an apartment project

Assess a sample against the intended use, dimensions, construction information and maintenance plan before approving a wider sofa order.

MIMO field notes · Sofa planning · · MIMO editorial team

A sofa sample is useful when the team knows what it is testing. Agree on the intended use and approval criteria before the sample arrives. Otherwise, a general impression of comfort or appearance can become an unsupported portfolio standard.

Confirm the sample represents the quote

Record the model, material, finish and dimensions. Ask whether the production order would match the sample or use a revised component. Keep any difference visible so the approval does not refer to a product that will not actually be supplied.

Clarify sample charges, return arrangements and who owns the item afterward. Do not assume a free sample programme exists unless the supplier has confirmed one.

Check use in the actual layout

Review seating, circulation, door swings and adjacent tables. If possible, assess the approved placement in a representative unit. Confirm the route for the packaged or assembled product and the required delivery service.

Gather feedback from the people operating and using the apartment, while recognizing that comfort is individual. Avoid converting a few opinions into invented reviews or a claim that the product suits every guest.

Inspect the operating information

Ask for assembly, care, relevant safety documentation and actual warranty terms. Identify whether components can be replaced and how stock is checked. A sample can show an arrangement and finish, but it cannot by itself prove years of durability or future availability.

Record the result as approved, approved with conditions or not approved. Attach the reasons and any required changes. Have an authorized buyer approve the final specification before requesting the bulk order.

Keep the sample record with the purchasing brief and unit-layout matrix. The value is a documented decision grounded in the actual project. It is not a guarantee of universal comfort, a substitute for product documentation or a reason to publish a customer testimonial that was never given.
