A supplier photograph and price are not the complete product record. Ask for the documents relevant to the actual item, intended use and purchasing responsibility. Keep them attached to the quoted model.
Confirm identity and dimensions
Request the model or SKU, material or finish, packaged dimensions, assembled dimensions and weight where relevant. Identify the quantity and the version being supplied. Product information from a similar item should not be used as proof for the chosen one.
If dimensions are unclear, resolve them before approving a room layout or delivery plan. A generic package name may contain several products with different requirements.
Ask for instructions and relevant evidence
Collect assembly, installation, anchoring where applicable and care instructions. Ask the supplier about safety or compliance documentation required for the product category. CPSC’s business guidance is an official starting point for relevant U.S. consumer-product requirements; it does not mean every item follows the same rule.
Do not make a broad “certified” claim unless you know what certification or document supports it and which item it covers. Qualified advisers should address technical or regulatory questions beyond your role.
Preserve the operating record
Get the supplier’s actual warranty, returns and damage-reporting information. Identify who receives a claim and what records are needed. Ask about components or replacement parts without treating their future availability as guaranteed.

Store the approved documents with the furniture register and make the relevant parts available to installers and maintenance staff. The purpose is not to collect paperwork for appearance. It is to give each team accurate instructions and preserve the information needed when the product is installed, cleaned, repaired or replaced.
