A leasing conversation often creates work for operations: a repair to confirm, a furniture addition or an unusual arrival time. The handoff should carry the actual requirement and approval status, not just a message saying “please help this guest.”
Use one inquiry reference
Keep the property, proposed unit, requested dates and renter’s essential needs under one reference. Add the latest quote or agreement status. Share personal information only with the appropriate team through its approved process.
Distinguish a question from an approved commitment. “Can a desk be supplied?” is not the same instruction as “a desk has been approved for delivery.” Record who may authorize the change and who will confirm the result.
Name the unresolved task
Write a short task with an owner, requested deadline and evidence needed. For example, operations might need to check a room measurement before procurement can quote a desk. The task should describe that dependency rather than telling the supplier to select something by appearance.

Close the loop with leasing
When the task is completed or cannot be completed, send the answer back to the team communicating with the renter. Do not let several departments make different promises. Update the offer or arrival record if the result changes it.
Before occupancy, check that approved furniture, repairs and access arrangements appear in the relevant preparation list. After arrival, report remaining issues through the normal service process.
A clear handoff does not need a new software platform. A concise shared record can work if it is maintained and protected appropriately. The aim is to preserve the requirement, authority and result as the inquiry crosses teams, so a casual question does not become an undocumented promise.
